How a corporate booking goes

  1. Send the brief. Date, headcount, format (seated, standing, classroom), AV needs and whether alcohol is served.
  2. Review options with pricing. Venues that are open, with rental, food and beverage minimums and AV costs laid out so finance can see the whole number.
  3. Site visit. Walk the room, check the load-in, confirm Wi-Fi and the parking situation for your guests.
  4. Contract and invoice. You sign with the venue, which can invoice the company directly and provide a certificate of insurance.

What affects the price

  • Headcount and format. Seated dinners cost more per person than standing receptions.
  • Food and beverage minimum, which at hotels and restaurants is usually the main cost.
  • AV: house systems are often included, but screens, microphones and a technician are usually extra.
  • Day and time. Weekday daytime is the cheapest; December Fridays and Saturdays are the most contested.
  • Parking and valet, which at downtown venues can be a line item of its own.

You get the rental price and what it includes before you put down a deposit.

Corporate events in Tampa Bay

Tampa's business core is split between Westshore and downtown, and most corporate events land in one or the other so guests can get there after work. December books earliest: companies that want a Friday or Saturday holiday party downtown or at a waterfront venue are usually choosing in September. Offsites and retreats are easier to place, and the beach hotels in Clearwater and St. Pete Beach do a steady business in them during the week.

Common questions

Can the venue invoice our company?

Yes, most can. Many also accept a purchase order or a deposit on a corporate card with the balance invoiced.

How far out should we book a holiday party?

For a December Friday or Saturday at a popular venue, September or earlier. Weeknights and early December are more forgiving.

Do venues have AV, or do we bring it?

Hotels and dedicated event spaces usually have house AV, with upgrades priced separately. Restaurants and breweries often have a screen and a microphone at most.

Can you handle a multi-day event?

Yes. Hotels in Westshore and downtown are set up for it, with meeting space, room blocks and catering under one agreement.
